Clerical Assistant
Annual Appointment – Clerical Assistant(s)
The Clerical Assistant supports the Secretary and the Executive Committee. The Clerical Assistant performs tasks and day-to-day maintenance activities to support the programs and activities of the organization as directed by the Secretary and the Executive Committee. In the event the Secretary becomes unable to perform their duties, the Clerical Assistant may perform Secretary duties until the Secretary position can be filled.
The Clerical Assistant has no vote on the Board of Directors or Executive Committee. The Clerical Assistant is appointed by the Board of Directors, with an annual review each November. The annual appointment term is December 1st through November 30th. If a Clerical Assistant is not appointed or does not take on the following responsibilities, the Secretary completes these duties (or designates others) and is responsible for their completion, accuracy, and legal compliance.

Communications Coordinator
Responsibilities
The Communications Coordinator is responsible for overseeing the planning, development and flow of communications between USAWE as an organization to its members and the public. This person is responsible for developing effective messaging and communication strategies, making sure all USAWE materials have consistent and positive messaging, and will conduct quality control on all communications. This person will develop and execute a strategic communications plan, partnering with internal stakeholders (committees and BOD) to drive the USAWE brand and metrics as specified in our strategic plan. Thus, the communications plan may be a 1-to-5-year plan reviewed on a regular basis by the BOD. They will review and unify existing messaging and develop and maintain standard talking points for recurrent topics and emerging matters.
Skills and Qualifications
A successful Communications Coordinator will have a strong set of written and verbal skills as well as problem-solving capabilities. This professional should be comfortable working on and delivering messages. They should also have the confidence and managerial skills to guide our committees.

Database/CRM Manager
Position Title: Volunteer Database/CRM Manager
Location: Remote
Time Commitment: Flexible, approximately 5-10 hours per week
About Us:
USA Working Equitation is a member-managed non-profit organization dedicated to the promotion and growth of the sport of Working Equitation in the United States. We are looking for a motivated volunteer to manage our database and customer relationship management (CRM) system to help streamline our operations and enhance our engagement with stakeholders.
Position Overview:
The Database/CRM Manager will be responsible for overseeing the organization’s database and CRM systems. This role includes managing data entry, maintaining data integrity, generating reports, and ensuring that the system meets the needs of the organization. The ideal candidate will be detail-oriented and have a passion for data management and analysis.
Key Responsibilities:

- Manage and maintain the organization’s database and CRM systems, ensuring data accuracy and integrity.
- Oversee data entry processes and implement best practices for data management.
- Assist the Membership Committee related to membership status, etc.
- Generate and analyze reports to provide insights into organizational performance and stakeholder engagement.
- Collaborate with team members to understand data needs and optimize CRM usage.
- Train staff on effective database usage and data entry practices.
- Ensure compliance with data protection regulations and organizational policies.
- Assist in troubleshooting database-related issues and liaise with technical support when necessary.
Qualifications:

- Familiarity with database management and CRM systems (experience with specific platforms, such as Findjoo, Salesforce, HubSpot, or others, is a plus).
- Strong analytical skills and proficiency in generating reports.
- Attention to detail and commitment to maintaining data accuracy.
- Excellent communication skills and the ability to work collaboratively with a team.
- Previous experience in database management, data analysis, or related fields is beneficial, but not required.

Google Workspace Email Account Manager
Do any of you have IT experience? We’re working on how to safely and securely design and control our Google Workspace including email support and CRM software. We feel these tasks could best be owned by someone with strong technical skills who can manage outside resources (already identified) to suit our requirements. This person will provide a brief status report to the Board of Directors quarterly, or more often if needed.
Marketing Committee Contributors
We are also seeking experienced marketing teammates with skills in campaign design, graphic design, program management and messaging. Don’t feel overwhelmed: We are hoping individuals can volunteer what time they have for short stints vs being full time team members. For instance, design a poster, manage the deliverables for a show, determine support items for Affiliate Organizations. These positions could be intermittent in need and fit the time you have to offer.
Marketing Manager (Chair of Marketing Committee)
We need an experienced Marketing Executive who will be able to align our marketing program with our strategic planning directions, tie to budget and measure results to determine future directions. This person will devise USAWE marketing campaigns as well as direct the marketing committee in support of the marketing requirements of committees and show managers. The Marketing Chair will provide a brief status report to the Board of Directors monthly.
Treasurer's Assistant
Annual Appointment – Treasurer’s Assistant
The Treasurer Assistant supports the Treasurer and Executive Committee. The Treasurer Assistant performs day-to-day maintenance activities to support the programs and activities of the organization as directed by the Treasurer and Executive Committee.
In the event the Treasurer becomes unavailable to perform their duties, the Treasurer Assistant may perform Treasurer duties until the Treasurer position can be filled. The Treasurer Assistant has no vote on the Board of Directors or Executive Committee. The Treasurer Assistant works with the income-generating committees such as Affiliate Organizations (AOs), Membership, Horse Recording, International, Licensed Officials, and Professional Development, to ensure receipt of income overseen by each committee.
The Treasurer Assistant coordinates with the Affiliate Organization Chair for the distribution of Member Designated Funds (MDF) according to the ballots each year. The Treasurer Assistant is appointed by the Executive Committee, with an annual review each November. The annual appointment term is December 1st through November 30th. If a Treasurer Assistant is not appointed, the Treasurer completes these duties (or designates to others) and is responsible for their completion and accuracy.

Webmaster (Chair of Website Committee)
We are looking for someone with website building experience and familiarity with WordPress and Divi who can manage outside resources (already identified) to keep our site functional and up to date. This person may be asked to make small, incremental site text updates (adding new documents, etc) on behalf of the Board and/or committees.
Depending on skill set, the Website Chair may work with an IT manager or could assume responsibility for managing our CRM software initiative integrated with our website. This person will provide a brief status report to the Board of Directors quarterly or more often if needed.
